1. What we collect
Depending on how you deal with us, we may collect:
- your name, business email, phone number, job title and organisation;
- site addresses, property or lease information and details about people involved in site decisions;
- electricity spend ranges, bills, interval data, tariffs, operating patterns, demand charges, generators, roof information and other site-assessment details;
- communications, meeting notes, enquiries, consent records and requested follow-up actions;
- technical information such as IP address, browser type, referring page and service logs; and
- other information you choose to provide during an assessment, proposal or contracting process.
Please do not send us sensitive personal information unless we ask for it and it is reasonably necessary.
2. How we collect information
We usually collect information directly from you through this website, email, phone calls, meetings, forms and documents. We may also receive relevant information from a colleague you authorise, a property owner, a referrer or delivery partner, or from public business and property sources where lawful.
3. Why we collect and use it
We use personal information to:
- calculate and deliver preliminary website results;
- contact you about the assessment you requested;
- screen, prioritise and route an enquiry to the appropriate person;
- assess the commercial, technical, property and credit suitability of a potential project;
- prepare proposals and, if both parties proceed, administer contracts and projects;
- coordinate with proposed engineering, delivery, finance and ownership partners;
- operate, secure and improve our website, systems and services;
- keep records, manage complaints and meet legal obligations; and
- send marketing where you have consented or where otherwise permitted by law.
4. Website collection notice, lead routing and consent
When you start the website assessment, we ask for your contact details and your express consent for Australian Onsite Energy to contact you by phone and email about that assessment. We record the consent wording, time, source page and assessment status.
Your details are sent to our Australian Onsite Energy account in GoHighLevel, provided by HighLevel Inc. The system creates or updates a contact and a sales opportunity so our team can respond. Completing the assessment adds your answers and preliminary lead tier to that record.
Consent to assessment follow-up is separate from the optional choice to receive occasional marketing updates. You can withdraw marketing consent at any time. Withdrawing marketing consent does not prevent service messages needed to respond to an enquiry you made.
5. Who we may disclose information to
We may disclose relevant information to:
- our staff, contractors and professional advisers;
- Specialised Energy Solutions and other engineering, installation, operations or maintenance providers where needed to assess or deliver a project;
- Australian Renewables Fund and other proposed capital, finance or project-ownership parties where needed for assessment, approval or documentation;
- technology providers including HighLevel, Google Workspace and Vercel;
- credit, metering, network, data or due-diligence providers where authorised and necessary; and
- regulators, courts, law enforcement or others where required or permitted by law.
We do not sell personal information. Before sharing detailed bills, interval data or site documents with a project party, we limit disclosure to what is reasonably needed for the relevant assessment or transaction.
6. Overseas processing
Some technology and professional service providers may store or process information outside Australia. This may include the United States and other countries in which HighLevel, Google, Vercel or their subprocessors operate. Overseas privacy laws may differ from Australian law. We take reasonable steps to use reputable providers and appropriate contractual and security controls.
7. Security and retention
We use reasonable administrative, technical and physical safeguards designed to protect information from misuse, interference, loss and unauthorised access, modification or disclosure. No internet or storage system is completely secure.
We retain information only for as long as reasonably needed for the purposes above, to maintain business records, manage disputes and meet legal obligations. We then delete or de-identify it where lawful and practicable.
8. Website logs and cookies
Our hosting provider may process essential logs needed to deliver and secure the website. We do not currently use advertising cookies on this website. If we add analytics or advertising technology, we will update this policy and use any consent controls required by law.
9. Access and correction
You may ask to access or correct personal information we hold about you. Contact us using the details below and explain what you need. We may need to verify your identity. If we cannot provide access or make a requested correction, we will explain why where required.
10. Marketing and opt-out
Marketing emails will identify the sender and provide an unsubscribe method. You can also opt out by emailing us. We will process an opt-out request promptly, although we may still send non-marketing messages needed to respond to an active enquiry or administer an agreement.
11. Privacy complaints
If you believe we have mishandled your information, email privacy@australianonsiteenergy.com.au with enough detail for us to investigate. We aim to acknowledge a complaint within 5 business days and provide an outcome within 30 days, or explain if more time is reasonably required.
If you are not satisfied, you may contact the Office of the Australian Information Commissioner.
12. Changes to this policy
We may update this policy as our services and systems change. The effective date above identifies the current version.
